1. Scope and who we are

This Privacy Policy explains how Hotel Lobby ai ("Hotel Lobby ai," "we," "us" or "our") collects, uses, discloses and retains personal information when you visit the service, create an account, purchase credits, generate a Hotel Lobby AI video or contact us. The operator of Hotel Lobby ai is the controller of the personal information described in this policy. You can contact us at support@hotel-lobby-ai.org.

2. Information we collect

Account and authentication information

When you sign in with Google, we receive information made available for authentication, including your name, email address and profile image. We assign an internal user identifier and maintain your account and credit balance. We also record your most recent login IP address and authentication or session information.

Uploaded photos and generation information

The Hotel Lobby AI generator requires two uploaded photos. We process those photos with a fixed production prompt and your selected resolution, duration and aspect ratio. We also maintain generation request identifiers, status, generated-video URLs, output and storage metadata, timestamps, credits charged, refund status and failure information. Uploaded photos may contain personal information about you or other people.

Payment and credit information

PayPal processes checkout and payment credentials. We do not receive or store your full card number, bank-account details or PayPal password. We maintain records needed to provide one-time credit purchases and administer transactions, including PayPal order, capture and transaction identifiers; the credit pack purchased; price and currency; payment status; credits granted or reversed; and refund, reversal or dispute information.

Technical, usage and communications information

We may collect IP address, browser or device information, cookie and session identifiers, request and security logs, pages or features used, and diagnostic information. If you contact us, we process your email address, message and any information you choose to provide. If analytics is enabled, we may receive traffic and interaction measurements.

3. How and why we use information

We use this information to authenticate users; provide and store requested video generations; maintain creation history; calculate, deduct and return credits; process one-time credit purchases; provide customer support; secure, troubleshoot and improve the service; prevent fraud, abuse and duplicate requests; enforce our terms; handle payment disputes; and comply with legal, tax, accounting and regulatory obligations.

Where applicable law requires a legal basis, we rely on performance of our contract with you, our legitimate interests in operating and securing the service, your consent where required, and compliance with legal obligations. Automated safety, duplicate-request and credit-availability controls may accept or reject a generation request.

4. AI inputs, uploads and outputs

To perform a generation, we send the two photos, the fixed production prompt and your generation settings to fal.ai and the Seedance 2.0 Mini model infrastructure. fal.ai returns generation status and an output video. We do not add the uploaded source photos to our own image library or Cloudflare R2 bucket. fal.ai and its model infrastructure process the photos to complete the request and may retain provider-side copies under their own terms and privacy practices.

Completed videos are copied to our Cloudflare R2 storage for playback, download and creation history. Do not submit confidential information or photos that you do not have the right and permission to use, including another person's likeness.

5. Cookies and analytics

We use essential cookies and similar technologies to keep you signed in, maintain sessions, secure the service and remember necessary preferences. If non-essential analytics is enabled, it may involve cookies and information such as device, browser, approximate location derived from IP address, pages viewed and interaction events. Where required, we rely on consent for non-essential analytics. You can restrict cookies through your browser, although doing so may affect site functionality.

6. How we disclose information

We disclose information only as reasonably necessary for the purposes described above, including to:

  • Google for sign-in and account authentication;
  • PayPal for checkout, payments, refunds, reversals and disputes;
  • fal.ai and its model infrastructure for file upload and AI video generation;
  • Cloudflare for generated-video storage and delivery;
  • hosting, database, security, analytics and technical service providers that help operate the service;
  • professional advisers, authorities or other parties when reasonably necessary to comply with law, protect rights and safety, investigate abuse or fraud, or establish and defend legal claims; and
  • a buyer, successor or adviser in connection with a merger, financing, reorganization or sale of all or part of the service, subject to appropriate safeguards.

We do not sell personal information for money. We do not use personal information for cross-context behavioral advertising.

7. International data transfers

Our users and service providers may be located in different countries. Information may therefore be processed outside your country, including in the United States, where privacy laws may differ. Where required, we use recognized transfer mechanisms or other appropriate safeguards.

8. Data retention

Generated video files copied to our Cloudflare R2 storage are scheduled to expire approximately 30 days after storage. Download any video you want to keep before it expires. A provider's source-photo or generated-video copy may be retained according to that provider's own terms. Generation records, including the fixed prompt, settings, request status, credit activity and video metadata, may remain after the playable video expires so that we can maintain account history, resolve failures and disputes, prevent abuse and keep financial records.

We generally retain account information while your account remains active and thereafter only as reasonably necessary for the purposes described in this policy. Payment, credit, refund and dispute records may be kept for the period required for accounting, tax, fraud prevention, dispute resolution and legal compliance. Security logs and support communications are retained for a period appropriate to their purpose. When information is no longer needed, we delete or anonymize it, subject to backup cycles and legal obligations.

9. Security

We use reasonable technical and organizational measures designed to protect information, including authenticated access to account history, server-side payment and credit validation, and restricted service credentials. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

10. Your privacy rights and choices

Depending on where you live, you may have the right to request access to, correction of, deletion of, or a portable copy of your personal information; restrict or object to certain processing; withdraw consent where processing is based on consent; and appeal or complain to a privacy regulator.

To make a privacy request, email support@hotel-lobby-ai.org from the address associated with your account and describe your request. We may need to verify your identity. Some information may be retained when necessary to complete a transaction, protect the service, comply with law, or establish or defend legal claims.

11. Age requirement

The service is intended only for people who are at least 18 years old or the age of legal majority where they live, whichever is higher. We do not knowingly allow children to use the service. If you believe a child has provided personal information, contact us so we can investigate and take appropriate action.

12. Changes to this policy

We may update this policy as the service, providers or legal requirements change. We will post the updated policy and revise its effective date. If a change materially affects how we use previously collected information, we will provide additional notice or obtain consent when required.
